At Halogen, our goal is to help young people develop positive belief systems and values so that they can take action in their circles of influence. As an end-to-end youth development hub, we aim to build foundational character, mindsets, and skill sets in young people by providing equal accessibility to leadership programmes and initiatives. This same experience is created for our staff as well. As a youth development organisation, we work with the youthful vibrancy of our stakeholders and students, ensuring that while we seek to catalyse social impact through our young people, we also do the personal good of building a staff team that is enabled to do their best work.

As a Community & HR Executive, you will play an important role in the recruitment of our staff, interns and volunteers, alongside ensuring our administrative functions run smoothly to allow for our staff to be able to do their best work.

 


 

Responsibilities

  • Manage our volunteer pipeline from end to end, including filtering applications, communicating with volunteers, and assigning of volunteers to our youth programmes
  • Provide necessary administrative support for our outreach events and volunteer engagements
  • Build our HR pipeline through regular outreach, ensuring a healthy employment pipeline for both staff and intern
  • Manage HR administration, updating HR policies regularly, and coordinating with hiring managers to prepare necessary documents to support the hiring process
  • Schedule interviews, and preparation of necessary paperwork/ administrative set-up once employment is confirmed
  • Support in office management and administration, including the management of our pantry, office upkeep, and organising the filing of documentation
  • Support in data entry related to the corporate office and updating of governance policies when necessary

 

A typical week at work involves

  • Coordinating with volunteers and providing them with information on volunteering sessions they could attend
  • Managing recruitment pipeline for community and HR, working with staff members across Halogen to coordinate outreach, recruitment, and interviews
  • Coordinating with staff members in the office, stakeholders and vendors to ensure the Community processes, HR processes, and office administration run smoothly
  • Following through administrative tasks such as data entry, filing and updating of policy documents

 

What You’ll Achieve

By the end of your first month,

  • You would have a working understanding of the ins-and-outs of the charity organisation, social service sector, and how our programmes plays a key role in Halogen.
  • You would have built a healthy working relationship with your team and built an understanding of each other’s working styles.
  • You would have a clear view on what you would like to achieve for the organisation in the short- and long-term.

By the end of your sixth month

  • You would have contributed significantly and proven to be a valued member of the team.
  • You would have built strong relationships with staff in Halogen, and become a vital part in helping in the smooth running of the office
  • You would be the first port-of-call for all things related to HR, Community and Corporate office processes.

By the end of your first year,

  • You would hold an expert understanding on our processes, and be able to suggest how we can further optimise these processes to grow our outreach.
  • You would be able to manage all administrative tasks independently, and generate reports to provide insights on our pipeline management
  • You would have helped organise multiple key engagements and events, and be familiar with the necessary preparation and administrative work needed to organise successful events in Halogen

Requirements

  • Prior experience in administrative and partnership coordination. Experiences in Finance, HR and/or Community Management would be considered favourably.
  • Passionate about youth development and our agency as people who can build a future for Singapore and the region, putting people above all else.
  • Meticulous and detail-oriented, being able to engage with multiple processes and deliver excellence in each of them
  • Excellent team player, and enjoy working in a dynamic, energetic work environment
  • Enjoy a fast-paced working and learning environment.
